Flyer Requirements

Fundraiser & Event Flyers/Graphics

Thank you so much for supporting District 49 schools by hosting fundraising events at your business — we truly value your partnership and generosity.

We wanted to share a quick update that will affect how we distribute promotional materials for these events. Colorado law HB21-1110 recently went into effect, requiring government organizations — including public school districts — to meet stronger digital accessibility standards. This means any materials we share with families, including PDFs, PNGs, JPEG, and other text-heavy graphics, must be accessible to individuals with disabilities.

In response, we’ve removed non-accessible PDFs/graphics from our website and are advising schools to avoid including them in newsletters, emails and social media. 

During our ongoing conversations with school leaders, it’s come up that many fundraising events rely on a flyer that families must show in order to participate. While we appreciate that approach, these flyers (often in PDF format) present a few challenges — not only in terms of accessibility for individuals with disabilities, but also for our non-English speaking families, since these text-heavy graphics can’t be easily seen by screen readers or translated by digital tools.

We’re excited to keep working together and exploring solutions that are inclusive for all families. If you'd like, we’re happy to suggest accessible formats that still help promote your event and meet these new requirements.

  • Contact the School
    • Confirm the school is willing to partner with you on this fundraiser or event.
    • Confirm the school is willing to share this information.
  • Due to Colorado law, we will not be posting or sharing any non-accessible flyers.
    • More than likely, the flyer/graphic you sent last time wasn't accessible. 
  • We will post a smaller graphic and text content that meets accessibility standards.
    • These items could be shared together in newsletters, on webpages or on social media.
  • Text Content:
    • Send a word document with the text content of the flyer, (or in the body of an email). 
    • Include everything from the headlines to the small print. 
  • Graphic:
    • Send a limited-text graphic to post with the text content.
    • About a dozen words or less
    • Colors should meet ADA color contrast requirements
    • Can include your logo
    • Should be a horizontal graphic, 16:9 (W:H) ratio is usually good, 1600x900 pixels or 1920x1080
    • Suggest a resolution of 72-100 dpi
  • If a family needs to actually present a printed flyer at your business to participate, please provide a link to the flyer they can print from your website (or Canva, etc.), if possible. 
    • If you don’t have the ability to host the flyer on your site, send the flyer as you normally would 
    • But also include the text and smaller graphic, which we will post
    • We will share the flyer via a link for printing
  • Do not include a QR Code on your flyer, share a link if needed, in the text content
  • It is not the responsibility of school staff to recreate non-accessible flyers.
